Archiving Policy
Digital Archiving and Content Preservation Policy
1. Commitment to Digital Preservation
VARIANSI Journal is committed to ensuring long-term access to all published articles through standardized digital archiving programs. This policy is designed to guarantee that VARIANSI articles remain permanently accessible, even in the event of changes to the journal's platform, management, or host institution.
2. Archiving Platforms and Systems
| Archiving Platform | Type | Status | Description |
|---|---|---|---|
| PKP Private LOCKSS Network (PKP PN) | Distributed | Active | VARIANSI's primary archiving platform. PKP PN is a distributed system specifically designed for OJS journals, storing archives across multiple redundant server nodes. |
| LOCKSS (Lots of Copies Keep Stuff Safe) | Distributed | Supported via OJS | Community-based distributed archiving system integrated into the OJS infrastructure. |
| VARIANSI OJS Server (UNM) | Institutional | Primary | Articles are stored on the UNM OJS server with a regular backup schedule. |
| CrossRef (via DOI) | Identifier-Based | Active | A DOI assigned to each article provides a permanent link that remains valid even if the hosting URL changes. |
| GARUDA | National | Indexed | Article metadata and full text are archived on the GARUDA portal (Garba Rujukan Digital) of the Ministry of Education. |
3. Permanent Article Identifiers
Each article published in VARIANSI is assigned:
- Digital Object Identifier (DOI): A unique, permanent link per article issued through CrossRef. The DOI remains permanent and unchanged even if the journal's hosting URL changes.
- Permanent Article URL in OJS: Each article has a permanent URL within the VARIANSI OJS system, linking directly to the full-text PDF and article metadata.
4. Archiving Procedure
- All articles formally published in a VARIANSI issue are automatically archived through the PKP PN system integrated into OJS.
- The editorial team verifies archiving each time a new issue is published, confirming that all articles have been registered within the PKP PN system.
- Article metadata (title, authors, abstract, keywords, DOI, publication date) is registered with CrossRef to ensure long-term accessibility through the global DOI infrastructure.
- Archive data integrity is verified on a regular basis, at least once per year, by the OJS technical team.
5. Access to Archived Content
Consistent with VARIANSI's open-access commitment, all archived VARIANSI articles are freely and openly accessible to the public. No embargo or time-limited access restrictions apply to archived articles.
6. Article Retraction and Archiving Policy
In the event that an article must be retracted due to publication ethics violations or fundamental scholarly error:
- The article is not removed from the digital archive. Instead, it is clearly labelled "RETRACTED" on the article page and within the PDF file.
- A retraction notice is published as a separate article and linked to the retracted article.
- The DOI metadata is updated in CrossRef to reflect the retraction status so that all links to the article direct users to the version bearing the retraction notice.
7. Journal Continuity Plan
- All article archives stored in PKP PN and LOCKSS will remain permanently accessible to the scholarly community.
- Article DOIs will remain active and resolvable through CrossRef.
- The VARIANSI Editorial Board undertakes to inform PKP and CrossRef regarding any change in the journal's status in accordance with applicable procedures.
